A lot of contractors have a quote template. A Word document, maybe a PDF form, built once a few years ago and reused ever since. It feels efficient compared to starting from nothing, and compared to a truly blank page, it is. But a template solves a smaller problem than it looks like it solves.
Templates don't fix the hard part
The genuinely time-consuming part of quoting isn't formatting a document. It's figuring out the scope and the price for this specific job. A template gives you a header, a logo, and some placeholder text for line items. It doesn't help you remember what the customer actually asked for, and it doesn't adjust automatically for the job's specific conditions.
You still have to fill in every blank by hand, every time, which means the template mostly saves you from retyping your company name and address. That's real, but it's a small slice of the actual work.
Consistency drifts without anyone noticing
If more than one person on your team writes quotes, a shared template doesn't guarantee shared pricing logic. One person rounds up for difficult access, another doesn't think to. One person includes a line for disposal fees, another folds it into the total without mentioning it. Over time, two customers with nearly identical jobs can end up with meaningfully different quotes, and nobody planned for that to happen.
